PAIN POINTS

The trucks keep rolling, the cost keeps climbing, and the reason stays unclear.

PAIN POINTSOUTCOMES

Every stage has a module behind it, so a cost incurred on the road lands on the settlement sheet instead of staying in a driver's notebook.

The agents are not bolted onto this chain: each stage has one standing on that stage's own module, running inside the caller's permissions — so no two stages are joined by a connector.

SUB-INDUSTRY VARIANTS

One asset lifecycle, different kinds of asset.

A fleet, a power plant and a mine are the same problem: assets, maintenance and running cost per unit of output.

Energy & utilities

Plants, substations and distribution lines: condition-based maintenance and cost per unit of output.

  • Equipment records by station, line and voltage level
  • Maintenance on running hours or on equipment condition
  • Running cost brought back to each unit of output

Mining & bulk materials

Heavy equipment, fuel and output measured by mass rather than by piece.

  • Machine hours, fuel and parts per heavy asset
  • Output recorded in tonnes or cubic metres
  • Maintenance planned against the extraction cycle

Cold storage & cold chain

Temperature limits, monitoring devices and a temperature record that travels with the lot.

  • Limits by product type and by transport leg
  • Monitoring devices, calibration schedule and out-of-range alerts
  • The temperature record handed over with the shipment

These are configuration differences on the same asset and maintenance modules, not separate packages.

A DAY IN OPERATIONS

A day for the fleet, from planning the route to closing the cost.

The same trip passes dispatch, the warehouse, engineering and then accounting — what it cost on the road is already on the settlement sheet instead of in a driver's notebook.

Transport dispatcher

Goal

Match routes, trucks and hauliers to the day's volume.

Modules
  • Planning
  • Inventory
  1. Open today's route plan: volume to deliver, trucks available and trucks booked in for maintenance.
  2. Build the trips route by route; whatever exceeds your own fleet goes to a contracted haulier.
  3. Release the dispatch order: driver, vehicle and drop points are pinned to one document.
  4. Take a call about something on the road — change the itinerary and book the extra cost against that trip.
  5. End of shift, compare completed trips with the plan and push what is left onto tomorrow's route.

Logistics warehouse lead

Goal

Keep goods moving in and out in step with the route schedule.

Modules
  • Inventory
  1. Open the stock-by-site board: which site is about to hit its minimum, which is sitting on goods too long.
  2. Pick against the dispatch order for the next route and confirm it complete at the dock.
  3. Raise a transfer to rebalance stock between two sites — the paperwork is written at both ends.
  4. Take in the returns from yesterday's route, sort them and put them back into available stock.
  5. Run a count on one zone and approve the variance record on the handheld.

Fleet engineering lead

Goal

Maintain to a schedule instead of waiting for a truck to break down.

Modules
  • EAM
  • Inventory
  1. Open the vehicles due for service by kilometres or by running hours and schedule them outside the peak window.
  2. Raise a work order: tasks, labour and parts — the system reserves the parts in the warehouse.
  3. Log a breakdown on one vehicle and tie the cause to its technical record.
  4. Close the work order: labour and parts go straight onto that vehicle's running cost.
  5. See which vehicles eat the most repair budget, so replacement is proposed at the right moment.

Operations director

Goal

Know what a trip really costs before the period closes.

Modules
  • BI
  • Finance
  1. Open the operations dashboard: routes running, on-time delivery rate and vehicles standing idle.
  2. Break the cost down by route: fuel, labour, maintenance and subcontracted haulage on one sheet.
  3. Compare cost per order across routes and across hauliers for the period.
  4. Drill into a loss-making route → down to the individual trip and the individual charge.
  5. Assign the review to dispatch straight from the chart and follow it until it is closed.

The steps describe the standard flow on exactly the modules above. How you split routes, your fuel norms and your maintenance cycles are agreed for your operation during the survey phase.

AGENTS ALREADY DO

Reconciling, chasing due dates, summarising and rolling up — the repetitive work running through the day above.

PEOPLE STILL DECIDE

Approving spend, settling on a plan, signing — anything that needs judgement still stops with a person.

HOW DELIVERY WORKS

A defined path, not an open-ended project.

  1. 01

    Survey & agree scope

Map current processes, the systems in use, data owners and which modules to switch on.

  2. 02

    Standardise & configure

Agree the standard processes, configure the system around them, fix roles and permissions.

  3. 03

    Migrate & run in parallel

Load master data and opening balances from the templates, run in parallel, reconcile and fix gaps.

  4. 04

    Go-live & expand

Run for real with an activation team, accept against a checklist, switch on further modules later.

Starting from a scope with clear boundaries is consistently faster and safer than switching everything on at once — expansion then happens on data that is already live.

Not the right fit at this stage if you need

  • To immediately replace a specialist system that is your system of record
  • Deep customisation outside the standard process before the system runs for real
  • Automated decisions replacing people at material control points
  • Multi-year historical data conversion before the source data is cleaned
FAQ

What operations teams ask first.

Does it manage fleet and assets?+

Yes. EAM manages lifecycle, preventive maintenance and OEE for equipment/fleet.

Does it control operating cost by route?+

Yes. Cost allocation and analysis by route, partner and vehicle.

Is maintenance proactive?+

Yes. Schedule- and condition-based maintenance to cut unplanned downtime.

Is it tied to finance?+

Yes. Operating cost posts to finance automatically, no re-entry.

How long does implementation take and what does it cost?+

Duration depends on module count, legal entities and process complexity; the Essentials industry template commits to go-live in 90-120 days. The cost has three lines, all stated up front: implementation (one-off), capacity-based usage (recurring, never per user) and data migration (billed separately).

What happens to the data we hold in Excel or an older system?+

Apus provides standard import templates for master data, opening stock and opening receivables so your team can load them — that part is in the package. If you want Apus to map fields, clean and load for you, or to convert multi-year history, that is the separately billed data-migration line.
